I am the International Service Director from the Rotaract Club 2010/11 of The Hong Kong Polytechnic University and glad to have the first writing with you. We are now planning for our IS trip this year. It would be started approximately on the end of December and I really want to have a chance to visit and service with you and your members in your country where I found amazingly suitable for us.

I’m Rtr. Abigail, Director of International Services of the Rotaract Club of N.M. College, RID 3140 here in Mumbai, India.
We at Rotaract Club Of N.M college have just begun our new year and are in the process of initiating new projects. In the past years, we have held many interesting projects for which we have won many awards. We have adopted and interact club and have also revived a rotatarct club in the district. Besides these, we continuously involve ourselves in community, club and international service projects throught out the year. This year we hold the 9th position in the entire District 3140.
I had gone through your website and I found the projects that you do very interesting. We at RCNM, would just be more than pleased to bond with your club..

Dear Sir/Madam,
On behalf of Rotaract Club of Victoria, I am writing to discuss the settlement of refund to your club due to cancellation of IS trip last year.
Our club originally planned to hold an IS trip in Indonesia(Jakarta) during 20th-27th April 2011. With the help and coordination of your IS Directors (2010-11), the preparation of trip was smoothly arranged. Some prepayments were made by your club before our arrival. Unfortunately, because of the natural disaster and unstable situation, there being no alternative that we had to cancel the trip.
After discussing with our participants and your IS directors, as the cancellation led to loss of money, we all agreed to refund to your club and the amount was HK$1,000.
We have already prepared HK$1,000 deposit and wanna know how we could refund to you. Please kindly suggest any feasible ways to reach you.
